Job Title: Office AssociateDepartment: Office ServicesFLSA Code: Non-ExemptJob Reports To: Vice President, Office ServicesSummary:As an Office Associate, you will be responsible for providing consistent, high-quality hospitality, conference, mailroom, office, and facility services to employees and clients.Primary Responsibilities/Activities:* Provide daily reception coverage for lunch/restroom breaks and afternoon coverage or as needed.* Setup and reset conference rooms according to meeting or event needs.* Catering setup and break down for client meetings and company events, following hygienic food and beverage handling procedures.* Act as an extension of housekeeping to maintain cleanliness standards for common areas, copy rooms, conference rooms, mailroom, and kitchens, including loading dishwasher or handwashing items as needed.* Maintain equipment including coffee machines, refrigerators, microwaves, ice machines.* Receive, distribute and process inbound and outbound mail.* Report lights, door locks, faucets, toilets, urinals, etc. that are not working properly.* Assist activities associated with arriving or departing employees.* Order and maintain inventory of supplies; restocking.* Act as an onsite coordinator for vendors, contractors, and other service providers.* Perform general clerical tasks, such as invoice processing, research, database management.* Maintain work area in a neat and organized manner.* Performs other job duties as assigned.Minimum Requirements:* Positive, can-do attitude* Proven work record of safe work practices and efficient time management skills.* Strong administrative skills: proficiency in Microsoft Excel, Word, Outlook, other software applications.* Ability to keep sensitive information confidential* Requires high school diploma or GED* 4-5 years of related hospitality and office experience is preferred* Able to work independently and in team settings* Able to organize projects, set priorities and maintain functional work environment* Effective oral and written communication; Able to interact effectively with diverse personas* Write and speak in a clear, concise manner, actively listens and seeks clarification as necessary* Maintain a professional demeanorPhysical demands:While performing duties of this job, employee is expected to perform moderate physical labor. Work is performed while standing and/or walking; requires bending, squatting, crawling, and reaching; the use of hands and finger to handle or feel objects, tools, or controls; reach with hands and arms; balance; stoop; crouch; bend; talk; and hear. Requires activities that involve exposure to dust and chemical fumes. The employee must have the ability to lift, carry, push or pull medium weights up to 50lbs.
